Senior Executive Assistant to support C-Suite Executive (Lake Nona area)

(Only candidates with extensive C-Level experience will be considered! Global experience highly preferred!)

Salary: $75,000-$80,000 plus bonus

Provides comprehensive administrative support to a senior executive, ensuring the efficient operation of their office and assisting in managing their workload. This role requires a high degree of professionalism, confidentiality, and exceptional organizational skills.


Essential Job Functions:
  • Schedule and coordinate meetings, appointments, and travel arrangements for the executive.
  • Anticipate scheduling conflicts and proactively manage the executive's calendar.
  • Act as a primary point of contact for internal and external stakeholders.
  • Screen and prioritize emails, phone calls, and correspondence on behalf of the executive.
  • Draft, edit, and proofread documents, reports, and presentations.
  • Organize and maintain digital and physical files and records.
  • Plan and book domestic and international travel, including flights, accommodations, and transportation.
  • Prepare travel itineraries and ensure the executive's travel needs are met.
  • Prepare agendas, materials, and presentations for meetings.
  • Attend meetings, take minutes, and follow up on action items.
  • Track and manage expenses, reimbursements, and invoices.
  • Prepare and submit expense reports in a timely manner.
  • Handle sensitive information with discretion and maintain a high level of confidentiality
  • Assist in managing special projects, research, and initiatives as directed by the executive.
  • Collaborate with other team members and departments as needed.
  • Build and maintain positive relationships with colleagues, clients, and partners.
  • Act as a liaison between the executive and other staff members.
  • Ensure the executive's office runs smoothly by ordering supplies, coordinating IT support, and managing office logistics.
  • Handle personal administrative duties as requested.
  • All other duties as assigned.
Essential Qualifications:
  • Bachelor's degree or equivalent experience preferred.
  • A minimum of 10 years’ experience as an executive assistant or similar role supporting top-level executives in a multinational organization.
  • Strong organizational, time management, and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in office software (e.g., Microsoft Office suite) and familiarity with office equipment.
  • Discretion and ability to handle confidential information with integrity.
  • Adaptability and ability to work in a fast-paced, ever-changing environment.
  • Exceptional problem-solving skills and attention to detail.
  • Flexibility to work outside regular business hours when necessary.
