We are seeking a detail-oriented and organized Administrative Coordinator to provide essential support to our team. This role involves managing administrative tasks, coordinating meetings, maintaining office organization, and assisting with project documentation. The ideal candidate will have strong communication skills, the ability to multitask, and experience working in a fast-paced environment.
Key Responsibilities:
General Administrative Support:

Assist team members with preparing project documentation and correspondence.

Coordinate and facilitate meeting logistics, including setup, cleanup, and food/beverage arrangements.

Maintain office supplies, ensure functionality of office equipment, and uphold workspace organization.

Create, organize, and archive project files to ensure proper documentation and compliance.

Provide general clerical support as needed.
Project & Office Coordination:

Prepare reports, memos, meeting minutes, and other essential documents.

Format and review project specifications for accuracy and consistency.

Support the development of proposals, contracts, and agreements.

Manage mail distribution, shipping coordination, and courier scheduling.

Assist with office event preparation, including staff meetings and training sessions.
Front Desk & Reception Duties (as assigned):

Greet visitors and direct calls professionally.

Maintain front desk and common areas to ensure a welcoming environment.

Handle deliveries, visitor parking validations, and general office inquiries.
Qualifications:

Education: High school diploma or equivalent required; college coursework preferred.

Experience: Minimum of 5 years in an administrative role; experience in architecture, construction, or engineering is a plus.

Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook); experience with NewForma, Adobe Acrobat, Vision, and PowerPoint is a plus.

Soft Skills: Strong organizational and communication skills, ability to multitask, work independently, and collaborate with a team.
