Part-Time Legal/Executive Assistant 
(Commercial Real Estate/Property Management Contracts Experience is Required)


Located South of Downtown Orlando

Flexible Hours - 26-30/week, Mondays are mandatory office days
Hourly Rate: starting at $30.00/hour

Responsibilities:

  1. Board of Directors Support:

    • Prepare for Board meetings by collecting, organizing, and distributing the Board Book, as well as other materials for the Board and family notifications.
    • Take minutes at Board meetings, draft for Vice President review, and finalize.
    • Follow up on action items post-meeting.
  2. Corporate and Real Estate Legal Administration:

    • Maintain limited partnership ownership records, verify annual report filings, and update partnership status files.
    • Manage corporate filings (e.g., Sunbiz) and assist attorneys with necessary real estate documents.
    • Update and manage family equity ownership records, including the issuance of stock certificates in cases of ownership changes.
  3. Tenant Lease Coordination:

    • Support the leasing process by preparing documents (letters of intent, lease agreements, abstracts, addendums, renewals).
    • Coordinate move-in/move-out processes, manage vacancy reports, and assist with unique leases (e.g., cattle leases).
    • Aid in real estate tax-related tasks by verifying property appraiser information as needed.
  4. Land Ownership and Agricultural Management:

    • Organize and maintain documentation related to property acquisitions and sales.
    • Monitor and apply for AG exemptions on classified properties and new acquisitions.
  5. Commercial Insurance Management:

    • Coordinate with external insurance agents on policy renewals, endorsements, and adjustments (for vacant spaces, new businesses, etc.).
    • Present insurance updates to the President, track policy dates, and ensure timely renewals.
    • Audit policies for coverage accuracy, confirm premium amounts with the Controller, and monitor accident claims for company or related entities.
  6. Human Resources Support:

    • Track employee attendance, PTO, and handle onboarding for new hires and contract workers.
    • Liaise with benefits providers (health, disability, retirement) and organize events, such as benefit enrollments and company-wide meetings.
    • Maintain confidential and up-to-date HR records.
  7. Office Management and Administrative Support:

    • Manage office file systems, coordinate with offsite storage for archival purposes, and schedule meetings/appointments.
    • Provide logistical support for management meetings, assist executives with timelines, and handle information transmittals.
  8. Benefits:

    • Full-time benefits after 90 days, including health and life insurance, and AD&D coverage.
    • Flexible part-time schedule (26-30 hours/week) with an hourly wage starting at $30/hr, negotiable based on experience.
