** Temp Part -Time opportunity. 20 hours a week. Pay is $18/hr**
The part-time Administrative Assistant is responsible for providing administrative support to the Executive Manager. This role requires exceptional organizational skills, attention to detail, and ability to handle confidential information which will contribute to the smooth functioning of board-related and Executive Suite activities.

The part-time Administrative Assistant is responsible for providing administrative support to the Executive Manager. This role requires exceptional organizational skills, attention to detail, and ability to handle confidential information which will contribute to the smooth functioning of board-related and Executive Suite activities.
Duties and responsibilities
- Assist in managing calendars, scheduling appointments, coordinating meetings, and handling correspondence.
- Assist with general office management tasks, such as supply inventory, equipment maintenance, and vendor coordination.
- Provides backup front desk support.
- On board meeting days assist with the coordination of logistics, running errands, booking rooms, distribution of meeting materials, room and audio-visual setup, and catering.
- Organize and maintain accurate and up-to-date records, physical files, and archive databases related to board activities, resolutions, policies, and procedures ensuring compliance with public records laws and administrative regulations.
- Coordinate travel arrangements, accommodations, and itineraries including flights, accommodations and transportation for the Manager and Executives attending meetings or conferences.
- Maintain utmost confidentiality and handle sensitive information with discretion. Handle confidential documents, agreements, and contracts, ensuring their secure storage, proper management and compliance with public records laws.
- Orders and maintains office supplies.
- Performs other related duties as assigned.
Skills
- Strong organizational skills, self-motivated, resourceful, detail-oriented, and energetic.
- Must be a team player.
- Excellent communication and interpersonal skills, and the ability to prioritize and handle multiple projects are essential.
- Proven administrative experience.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Proficiency in using productivity tools, such as Microsoft Office Suite and Adobe PDF.
- Discretion and confidentiality in handling sensitive information.
- Ability to multitask and adapt to changing priorities in a fast-paced environment.
