The Administrative Assistant supports the  Legal Department, General Counsel, Deputy General Counsel, and Manager of Legal Services conducting research, preparing legal documents, gathering and analyzing information, editing and proofing contracts and agreements, and anticipating needs of the department. 



Duties and responsibilities:
 
  • Implement office procedures as directed by the General Counsel and Manager of Legal Services.
  • Prepare departmental correspondence, documents, and contracts for review by staff attorneys.
  • Review, proof and format legal memoranda, contracts and other transactional documents.
  • Formats, edits, compiles and provides technical support any agenda items, including documents, contracts, maps or attachments, that are submitted for review and approval.
  • Assist in the audit and process all monthly Legal invoices for the department.
  • Assists in the coordination of committee meetings and activities when appropriate.
  • Maintain calendars and schedules appointments.
  • Research and compile data for completion of basic legal forms and documents.
  • Ensure top quality production of all correspondence, documents, and communications.
  • Analyze and compile data, secures relevant information, research Florida Statutes, County Codes and other references for the development of legal documents.
  • Coordinate and complete administrative projects which may be of a confidential nature.  
  • Maintain, organize and update files and records.
  • Provide administrative support for any committee established and maintained by the department, including board committees.
  • Other duties as assigned.

Skills:
  • Ability to interact with personnel in a professional and cordial manner.
  • Strong MSOffice and experience with word processing, spreadsheets, and presentation software.
  • Excellent written communication and verbal communication skills and the ability to compose correspondence.
  • Knowledge of legal terminology and procedures. 
  • Ability to multitask in fast paced environment.
  • Must be able to handle confidential information with discretion.

Qualifications:
 
  • AA degree and four years of legal administrative or paralegal; or an equivalent combination of relevant education, training, or experience.
