Administrative & Communications Coordinator (Planning Council Support)

 

$20/hour

Temp to Hire

Monday–Friday, 8:00 AM – 5:00 PM

Orlando, FL (Hybrid)
Will mainly work from home with the exception of 5 days a month.


Job Summary

We’re hiring an organized, detail-oriented Administrative & Communications Coordinator to support a Planning Council serving the Ryan White HIV/AIDS Program (RWHAP) Orlando Service Area. This role provides administrative support for meetings and outreach activities, manages communications and records, and helps build engagement through social media, email, newsletters, texting, and website updates—while maintaining strict confidentiality and compliance standards.


Key Responsibilities

  • Provide administrative support for onsite/offsite Planning Council meetings, outreach, and activities
  • Coordinate meeting logistics: scheduling, calendars, setup/breakdown, attendance tracking, and materials preparation
  • Record, transcribe, and distribute clear and accurate meeting minutes
  • Maintain organized copies of Planning Council Support records
  • Answer and coordinate inbound communications related to Planning Council Support
  • Manage, update, and maintain a member database
  • Research, create, and manage social media content while following established guidelines
  • Develop and implement a digital engagement strategy (social, email, newsletters, texting, website) to increase online engagement
  • Track inventory, event supplies, and equipment
  • Assist with annual Data Presentation, Priority Setting, and Resource Allocation processes
  • Provide backup support to the Planning Council Support team as needed
  • Maintain confidentiality and comply with privacy requirements (HIPAA; PHI/PII)
  • Perform other duties as assigned

Qualifications

  • High School diploma or equivalent required
  • 1+ year administrative experience preferred
  • Social media management experience required (website management familiarity preferred)
  • Experience with organizations focused on HIV/AIDS preferred
  • Proficiency in Microsoft Office required
  • Ability to take accurate, clear, concise meeting minutes
  • Strong customer service skills
  • Excellent written and verbal communication skills
  • Strong attention to detail and accuracy
  • Able to multitask and work in a fast-paced environment
  • Able to work independently with minimal supervision
  • Presentation skills and comfort communicating with diverse audiences
