TITLE:  Office Manager/Bookkeeper

Some of the roles responsibilities include providing administrative support to ensure efficient operation of the council office, conferences and stores. Support store managers and employees through a variety of tasks related to organization and communication.  Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. 

Responsibilities:

  • Produce and distribute correspondence memos, letters, faxes, etc. 
  • Assist in the preparation of regularly scheduled reports (quarterly and annually)
  • Develop and maintain a filing system
  • Order supplies as needed
  • Submit and reconcile expense reports
  • Provide general support to Conferences
  • Provide information by answering questions and requests
  • Generate financial report through Quickbooks
  • Handle multiple projects
  • Prepare and monitor invoices
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Manage time clock system and prepare payroll (bi-weekly)
  • Reconcile store financials
  • Maintain all renewals of licenses and permits annually
  • Enter, track, and monitor stores daily sales

SHIFT:  Monday-Friday 9am-5:30pm  (flexible with an 8am start time) 

Required Experience: 

  • Must have High School Diploma
  • Must be proficient with Office (Word, Excel, Power Point)
  • Must be proficient with Quickbooks 
  • Bookkeeping experience (they will need to be able to reconcile credit cards, cash, sales tax, and donations into Quickbooks) 
  • Great communication skills
  • Multitasking and Organization a Must!
  • Excellent computer skills

PREFERENCES:

  • Experience with non-profits encouraged but not necessary
  • Associates in Business related field preferred
